Why a company needs a GAAPx Company Brain

The GAAPx Company Brain is where your finance policies and definitions are written down by area, versioned, approved by a named reviewer, and read by people and AI agents. This guide covers why that matters and where to begin.

A finance team's value is its know-how, the way things really get done. It lives in people's heads, email, chat and spreadsheets. If it is not written down, your team's AI cannot use it, and it leaves when a person does. Your team writes it down by area, approves it, and the Company Brain keeps every earlier version.

When policy lives in people's heads

Someone new asks who approves an odd invoice. Another person asks how you treat a prepaid that spans year end. The answer exists. It sits with your longest-serving senior accountant, in an old email thread, and in a PDF from two controllers ago.

That works until she is on leave in the week of close. Or the auditor asks which rule applied in March. Most finance teams run this way, and for years it holds up because good people fill the gaps.

The cost shows up as small repeats. The same question gets answered again, the same exception gets explained again, and two people give two slightly different answers.

Why AI raises the stakes

AI tools answer finance questions whether or not you have written anything down. Without an approved source, an agent reads whatever document it finds first, and it sounds equally sure about all of them.

Your team can give an agent something better to read: the policy your company actually approved, in the version that is in force today. The AI-savvy person on your team gets a clear way to bring AI in, because the agent has a source worth trusting.

What a Company Brain holds

A Company Brain is the written record of how your finance team decides and works. Each item is a policy or a definition, such as an approval limit, a close checklist step or what your team means by "net revenue".

Items are grouped by finance area, and the GAAPx Score reports by area too.

Each item keeps its version history. Older versions stay visible, so you can answer "what was the rule in March?" with a version and a date.

Who approves

The rule is that every policy has a named reviewer. One person drafts it, and a different person approves it. The approved version is set up to record both names and the date it took effect.

Under the rule, nothing becomes the answer until a person signs it off.

How it connects to the Score and the agents

The GAAPx Score is free and shows where each of the nine areas stands today. Areas where little is written down are the natural first places to add to the Company Brain.

Three agents are being built to work from the Company Brain. You and your finance team approve every decision.

  • AI Analyst reads your process documents and finds where the written steps and the real work differ. Its pain-point list is a scripted sample on PulseIQ, a demo company.
  • AI Architect is planned to propose a future state and which solution delivers each use case.
  • AI FDE is planned to name the next task and its owner, say what to check, and log each decision.

An export that lets any agent read the approved policies is also planned, as context packs (called skills in some AI tools). For now the Company Brain is for your people.

Why the AI Analyst comes first

The agents plan and guide work from what your Company Brain holds, so it needs real, current processes before they can do either. Guesses about how invoices get approved would give you plans built on those guesses.

The AI Analyst captures how work really gets done. It starts with your process documents, then adds recorded walk-throughs (planned) for the steps the documents leave out. Once those are in, the AI Architect and AI FDE work from facts about your team instead of assumptions. See how the AI Analyst works.

Where to start

Pick one policy your team answers from memory every month. Write it in your own words, name who reviews it, and approve it. One written, approved policy is the start of your Company Brain. The rest grows by area.

If you already have policy documents, the plan is to put them in a Google Drive or Box folder. An AI such as Claude reads them and creates the first version of the Company Brain for you and your finance team to review and approve. Later, transcripts and recordings keep feeding it, and it drafts updated policies for your approval. These steps are planned, not live yet.

The Score shows which area to try first. It is free.

Questions about the GAAPx Company Brain

What is the GAAPx Company Brain?

It is the place where your finance policies and processes live, with the approved version of each and its history. Inside it, your approved accounting policies make up your Finance Handbook.

How is it different from a document folder?

A folder holds files. A Company Brain keeps one approved version of each policy, shows who approved it and when, and keeps the earlier versions so you can see what changed.

Do I need policies to start?

No. You can start from zero or from whatever you already have. Your GAAPx Score shows which area to write first. If you have documents, the plan is that you put them in a Google Drive or Box folder and an AI such as Claude creates the first version of the Company Brain for you and your finance team to review and approve. That part is planned.

What is the GAAPx Score, and how does it relate to the GAAPx Company Brain?

The GAAPx Score is free and shows where each of the nine areas stands today. Areas where little is written down are the natural first places to add to the Company Brain.

Does GAAPx write my policies? Can it replace my accountant?

GAAPx gives you guides for drafting a policy, and drafts can contain mistakes, so a person on your team should review every one before you use it. It does not replace your accountant or your advisors.

When is it available?
